Phase 1 - Initial Assessment

At DHS Financial Solutions, we undertake a thorough initial assessment process to ensure each application is accurately prepared and supported.
This begins with the collection of all required documentation, including a signed Privacy Form, completed Finance Application, and any relevant supporting documents. We also confirm key borrowing details such as the loan amount, whether the finance is for consumer or commercial purposes, the asset type, and the proposed borrowing structure.
In instances where documentation is incomplete, we will liaise with the Broker to determine whether direct follow-up with the client is appropriate.
As part of our due diligence, we conduct comprehensive credit and identity checks. This includes reviewing the client's credit report via the broker's Equifax account, as well as completing a GLE check. If the GLE check is outstanding, we will confirm with the Broker whether we are authorised to complete this directly with the client via phone.
Once all necessary information has been obtained, we carry out a preliminary capacity assessment and verify that all supporting documents and credit information are consistent with the application.
A detailed summary of our findings is then prepared and provided to the Broker to assist in identifying suitable lender options tailored to the client’s needs.
Phase 2 - Finance Application
(Drafting & Submission)

As part of our application processing services at DHS Financial Solutions, we handle all necessary data entry and documentation tasks to support a smooth submission process.
Upon receiving the Broker’s authorisation, along with the relevant lender link and login credentials, we proceed to enter the finance application with the preferred lender. We then upload the signed Privacy Form and all supporting documents directly to the application portal to ensure a complete and compliant submission.
In addition, we add assessment notes—either those provided by the Broker or prepared by our team with the Broker’s approval—to support the application’s context and rationale. Once this process is complete, we notify the Broker and confirm how they wish to proceed.
Specifically, we clarify whether the application should remain in 'Draft' status for the Broker’s review and submission, or if we are authorised to submit the application on their behalf.
Phase 3 - Asset Purchase Support
(Dealer Sale & Private Sale)

At DHS Financial Solutions, we offer tailored support for both dealer and private sale transactions to ensure all documentation and compliance requirements are met efficiently.
For dealer sales, we begin by requesting the invoice and deposit slip directly from the dealership. We continue to follow up with the dealer until all required documents are received. If any amendments to the invoice are necessary, we make the changes accordingly to ensure accuracy and compliance. Once all documentation is finalised, we notify the Broker to confirm that the process is complete.
For private sales, we liaise directly with the seller to coordinate any required inspections or valuations of the asset. To facilitate this, the Broker must provide the seller’s contact details; an additional fee may apply if the inspection is organised using our account. We also request all necessary private sale documentation and perform a comprehensive PPSR check on the asset. In cases where the asset is encumbered—such as under an ALLPAP registration—we can assist in arranging the release of the encumbrance, subject to an additional fee.
As part of the transaction process, we draft and complete a Private Sale Invoice detailing the agreement between the buyer and vendor, including the disbursement of funds for settlement.
Once the Broker approves the invoice, it is sent to both the buyer and vendor for signing. Upon completion of all requirements, we notify the Broker and confirm that the transaction is ready for settlement.
Phase 4 - Loan Documentation Preparation & Settlement Support

At DHS Financial Solutions, we provide comprehensive support throughout the settlement stage to ensure a seamless and efficient process.
We begin by confirming that the correct lender approval has been received by the Broker, along with all associated settlement conditions. Once verified, we email the settlement conditions required to the client for us to initiate the loan document request from the lender.
If an insurance quote is required—such as from Suncorp or Allianz—we can provide this to the client on the Broker’s behalf using the Broker’s login credentials, with an additional fee applicable for this service.
After all settlement conditions have been met, we request the loan documents from the lender. Where appropriate, we can send the loan documents directly to the client for signing, streamlining the process further.
Upon completion, we provide a full update to the Broker to confirm progress. Should any settlement irregularities arise, we are also able to manage and resolve these issues through to settlement, subject to the Broker’s request and an additional fee.
Phase 5 - Post - Settlement Compliance & Administration

As part of our post-settlement and compliance support at DHS Financial Solutions, we ensure all documentation and administrative requirements are finalised in line with industry standards and audit readiness.
To carry out this process, we require access to the Aggregator platform, including login credentials and the relevant client folder. We begin by ensuring all supporting documents are correctly filed and organised to meet audit and compliance requirements.
In addition, we generate any necessary invoices on behalf of the Broker and conduct a final review of the GLE and finance application to confirm completeness and accuracy.
For consumer loans, we also confirm that the Credit Proposal and Credit Product Disclosure (CPA and CPD) documents have been sent to the client as required.
Once all tasks are completed, we provide a full report to the Broker, confirming that the file is fully compliant and ready for audit or final lodgement.
